Terms & Conditions
Please read the following Terms & Conditions carefully, as they form the basis of our working relationship.
1. Agreement
- These Terms & Conditions constitute a binding agreement between the client and The Perfect Proposal.
- Any amendments or variations must be agreed to in writing by both parties.
- All bookings and confirmed changes (verbal or written) are binding once agreed.
2. Quotations & Bookings
- All quotations are valid for 7 days unless otherwise stated.
- A non-refundable deposit may be required to secure your booking and must be paid within 7 days of the quote being issued.
- The Perfect Proposal reserves the right to release bookings not secured within this timeframe.
3. Payments
- Full payment must be received prior to the event date. Failure to do so constitutes a material breach and may result in cancellation of services.
- Proof of payment must be provided to your planner.
- Payments are accepted via EFT and PayPal. Credit card facilities are not available.
- International payments may incur additional bank charges, which will be for the client’s account.
- Payment terms can be discussed and agreed upon where necessary.
4. Refundable Deposits (Hire Items)
- A refundable breakage deposit may be required for hired items.
- This will be refunded once all items are returned in good condition.
- The client is responsible for any loss, damage, or breakage.
5. Cancellations & Refunds
- If the client cancels the event, a cancellation fee of up to 100% may apply, depending on work completed and supplier commitments.
- No refunds will be issued for cancellations within 7 days of the event or on the event day.
- If no work has commenced, a refund may be considered at the discretion of The Perfect Proposal.
- Supplier and venue cancellation policies will apply and may affect refund amounts.
- All refunds are at the sole discretion of The Perfect Proposal.
6. Date Changes
- Should unforeseen circumstances arise, we will attempt to accommodate a change of date, subject to availability and supplier terms.
7. Overtime
- Events exceeding the agreed timeframe may incur additional overtime charges.
8. Suppliers & Third Parties
- Clients are required to sign all supplier and venue contracts.
- The Perfect Proposal is not responsible for the terms, services, or performance of third-party suppliers.
- Any suppliers booked directly by the client remain the client’s responsibility.
- Payments to third-party suppliers are the sole responsibility of the client.
- In the event of supplier insolvency or failure, the client bears all associated risks.
9. Client Responsibility
- It is the client’s responsibility to ensure services booked meet their expectations.
- All personal property supplied remains at the client’s own risk.
- Clients are responsible for reviewing accommodation bookings and cancellation policies.
10. Liability
- The Perfect Proposal is not liable for any loss, damage, theft, injury, or accidents occurring before, during, or after the event.
- All goods and services arranged on behalf of the client are at the client’s sole risk.
- The client is responsible for any damages, losses, or breakages (including venue property, hired items, or personal injury).
- The Perfect Proposal shall not be liable for any indirect, consequential, or financial loss.
11. Force Majeure
- The Perfect Proposal is not responsible for delays, changes, or cancellations due to circumstances beyond our control, including but not limited to weather, natural disasters, fire, or other “acts of God.”
12. Weather Policy
- In the case of adverse weather, we will work with the client to explore alternative arrangements where possible.
- If no suitable alternative is available, events remain non-refundable.
13. Event Outcome
- Proposals and events are a creative process. While every effort is made to deliver a successful experience, outcomes cannot be guaranteed.
- No refunds will be issued based on the outcome of the event.
14. Food & Beverages
- Clients must disclose all dietary requirements and allergies in advance.
- The Perfect Proposal is not liable for any food-related illness or allergic reactions.
- Alcohol regulations must be adhered to; we are not responsible for confiscation or legal issues.
- No alcohol will be served to persons under 18 years of age.
15. Conduct & Right to Terminate
- The Perfect Proposal reserves the right to terminate services at any stage if subjected to harassment, abuse, or unsafe conditions.
- In such cases, no refunds will be issued.
16. Working Hours
- Office hours are Monday to Friday, 08h00 – 17h00, excluding event days.
17. Photography & Marketing
- Event photographs are jointly owned by the client and The Perfect Proposal.
- We may use images of décor and event setups for marketing purposes, unless otherwise agreed.
18. Privacy
- Personal information will be kept confidential and will not be sold or shared with third parties.
19. Intellectual Property
- All concepts, designs, styling, and materials remain the intellectual property of The Perfect Proposal and may not be copied or reproduced without written consent.
